Why you need a DMS and a scanner or, The emerging document image capture market

Computer Communication within the U.K has evolved to such an extent it has become the evolution of society - "Science fiction is becoming Science fact". Scanning a document isn't new, what is new, is what we have decided to do with it, scanners for businesses as a necessity was created.

Optical scanners, and document scanning amalgamated with Email to create telecommunications equipment, out of your computer. We are now able to pass on documents delivered in the morning by the postman, at the main office address, and have them emailed directly to you!  In fact, better still, have them deposited within MS Sharepoint or, possibly, more cost effective, to your own Document Management Software (DMS). The time, money, and effort implications, are obvious, as well as the green implications on your carbon foot print.

Today it's second nature to create an attachment to a mail, companies in the U.K would mostly prefer to use Microsoft Outlook, their staff relying on it as a Document Management System (DMS), many receiving over a hundred mails a day and relying on Outlook as a DMS. With that volume of communication it won't be as tidy as it should be. Inevitably you end up losing track of your mails, never mind the attachments. Here is where a DMS becomes an IT Solution, whereby you will want your files centrally located  and catalogued with meta tags and data for easy retrieval. To protect your data, and also your investment, you will employ IT services, and I won't be the first to tell you that computers aren't expensive, it's the applications that cost the money, and therefore needs protecting.
